At Trio Education, accessible from trio.so/education (“Site”), one of our top priorities is the privacy of our users. This policy document outlines the types of information collected and stored by Trio Education through our service, which includes both the Site and the Trio Student application (“App”), and how we use it. BY USING TRIO EDUCATION SERVICES AND APPLICATIONS, YOU ACKNOWLEDGE THAT YOU HAVE READ AND UNDERSTOOD THIS PRIVACY POLICY.

For the purposes of this Policy, “Users” refers to:

  • Administrators” who are individuals who operate the technical features available through the Services.
  • Teachers” who are individuals permitted to use the classroom features in order to manage students’ mobile devices during class time.
  • Staff” who are individuals otherwise employed or contracted by the School.
  • Students” who are individuals enrolled at a School that use the Services and Applications for educational purposes (“School”).

Administrators and other School staff are together “Administrative Users.”  They can either view or edit the rules and settings of the service and manage capabilities for content and application enforcement on Student devices.

Information We Collect

The personal information you are asked to provide, and the reasons why you are asked to provide it, will be made clear to you at the point we ask you to provide such personal information. All information collected through our platform is used within the education environment and for educational purposes. The agents presenting and assisting you through the setup process could be required to explain you in detail how the information will be used according to the instruction presented on the panel.

If you contact us directly, we may receive additional information about you such as your name, email address, phone number, the contents of the message and/or attachments you may send us, and any other information you may choose to provide. The data will be collected to assist you better through the support process and will be removed permanently upon your request.

Except as described in this Privacy Policy, we do not request or knowingly receive Personal Data from Students or anyone else who is younger than the age of majority in their place of residence.

Usage Information

When an Administrative User or a Teacher utilizes the Services, we may automatically capture specific information from them, including their IP address or other device identifiers, web browser and/or device type, actions taken within the Service, and the dates and times of access or use. We also gather data regarding the Administrative User’s engagement with email messages, such as whether they open, click on, or forward a message. This information is collected solely from Administrative Users and Teachers; we do not track usage or email interactions for Students.

We don’t ask the School using The Services to share the data of its Users as part of the School’s data. We don’t request any data from any other User other than the users within the school environment. The information stored as part of the School’s data is only intended to allow the school to use the Services in an appropriate manner, and to internally identify which User is currently assigned to each managed device.

  • Login and registration data

The Trio Education website collects and stores registration and login information from users (School admins and Students). The information is used to keep the users synced with the services, help them access the features, apply security rules and keep the customers informed about the latest updates. Information collected during sign up and management of the service includes the following:

The school manager, IT admins:

  • First and last name
  • Email address
  • Phone number
  • School address
  • School location and geofence radius
  • School working schedule
  • School time zone

The information will be collected through the signup process, and it’s used mainly within the application. The purpose is to create a school profile and manage the application components.

The students:

  • First and last name
  • Email address
  • Student phone number*
  • Gender
  • Date of Birth
  • Parent/Guardian information (name, email, phone number) *
  • Home location and geofence radius*
    (items marked with * are optional)

The information will be collected through the application setup process, and it’s used mainly within the application. The purpose is to create student profiles and add them to the classes to manage and monitor.

The Devices:

  • Device name
  • Device model
  • OS and build version
  • Supervision mode status
  • Battery level
  • Location
  • List of apps installed and removed (with date and time) – only have access to the information of the name of the Apps installed and removed.
  • GPS location if approved by the User
  • Device UUID
  • Start and end date and time of usage of installed apps during an active class.

The information will be collected through the device enrolment process, and it’s used mainly within the application. Information collection will be done by installing the agent app “Trio Student”. The purpose is to get the information on the panel and manage the device usage within the educational environment.

Usage Information:

  • App usage data (apps used, frequency, duration)
  • Screen usage data (time spent on the device)
  • Search activity reports (search terms, results)

This information is collected to be used within the Trio Education service. It will not be used for other purposes outside the service. No third-party apps outside Trio’s environment will access or use the information collected from the user.

How We Use Your Information

We use the information collected in various ways, including:

  • Provide, operate, and maintain our website and the service
  • Improve, personalize, and expand our website and the service
  • Understand and analyze how you use our website
  • Develop new products, services, features, and functionality
  • Communicate with you, either directly or through one of our partners
  • Provide customer service include updates and other information relating to the website, and for the Trio marketing and promotional purposes.
  • Send you emails
  • Find and prevent fraud

Legitimate Interests: We may utilize your information when we have legitimate interests in doing so. For example, we analyze user behavior to enhance the Services, prevent and identify fraud and misuse, and promote new products and services that we believe may be of interest to you.

Consent: Occasionally, we may request your consent to utilize your information. You can withdraw your consent at any time by reaching out to us at [email protected] .

Log Files

Trio Education follows standard industry procedures for logging activity within our website and the service. The information collected in log files includes:

  • Internet Protocol (IP) addresses
  • Browser type
  • Internet Service Provider (ISP)
  • Date and time
  • Referring/exit pages
  • Items clicked upon

Information stored in log files associated with operation of our website and the service is not personally identifiable. Information is collected to for the analysis of trends, administering services, tracing user flows and movement, and gathering demographic information.

Cookies and Web Beacons

Like most websites, Trio Education uses “Cookies” to store information including visitor and user preferences, and to identify pages on the website that have been accessed or visited. The information is used to optimize the user experience by customizing page content based on browser type and/or other information.

Third Party Privacy Policy

Trio Education’s Privacy Policy does not apply to other advertisers or websites. Thus, we are advising you to consult the respective Privacy Policy of these third-party ad servers for more detailed information. It may include their practices and instructions about how to opt out of certain options.

You can choose to disable cookies through your individual browser options. To know more detailed information about cookie management with specific web browsers, it can be found at the browsers’ respective websites.

Data Protection

We take the protection of the Student, Device, Staff, Administrator, and the School’s Data seriously, employing appropriate technical, administrative, and physical safeguards to defend your information against unauthorized or unlawful processing, as well as accidental loss, destruction, or damage. This includes measures such as encryption, firewalls, password protection, and various access and authentication controls. Access to the Student, Device, Staff, Administrators and School’s Data is restricted to employees who need it to perform their duties or provide products and services to you. However, since no security system is entirely foolproof, we cannot guarantee the complete security of any information we have collected from or about you.

HOW WE SHARE PERSONAL DATA
 

We will not sell, rent, or share Personal Data or School’s Data with third parties except in the following ways:

  •  Applicable law may require us and our service providers to disclose your information if: (i) reasonably necessary to comply with a legal process, such as a court order, subpoena or search warrant, government investigation or other legal requirements; or (ii) necessary for the prevention or detection of crime (subject in each case to applicable law).
  • We may also share information: (i) if disclosure would mitigate our liability in an actual or threatened lawsuit; (ii) as necessary to protect our legal rights and legal rights of our users, business partners or other interested parties; (iii) to enforce our agreements with you; and (iv) to investigate, prevent, or take other action regarding illegal activity, suspected fraud or other wrongdoing.
  • We may transfer your information if we are involved, whether in whole or in part, in a merger, sale, acquisition, divestiture, restructuring, reorganization, dissolution, bankruptcy or other change of ownership or control.
  • We may ask for your consent to share your information with third parties. When we do, we will make clear why we want to share the information.

HOW LONG WE RETAIN THE DATA

  • a) Active School’s Data: School’s Data, including devices under management, users and other data currently in use and not deleted on your account. Active School’s Data is retained for as long as your account is active or until it’s manually removed from your account by an Administrator.
  • b) Active School’s Data Backups: Trio Education performs full daily Backups for all Active School’s Data and stores such backups in a Recovery Datacenter for up to 7 days. After 7 days, the Backup is deleted. Based on this flow, any information manually removed from your account by an Administrator will still be retained as part of the Active School’s Data Backup for up to 7 days.
  • d) Support Logs: When you create a support ticket, depending on the complexity of the question or request, it may be necessary for engineers on Trio Education’s Technical Support team to prepare and implement special logs that will be used to support you. Those logs may include School’s Data. Support Logs will be retained for up to 15 days. Logs are part of the Active Company’s Data Backups described in Section 6 “b” above and after the deletion from the production environment, Administrator Logs may be part of the Active Company’s Data Backups for up to 15 days.

Your choice about your information

We value your privacy rights and offer you reasonable access to the Data you may have submitted while using the Services. If you would like to access or modify any other Data we have about you, please reach out to us by creating a new support ticket or emailing [email protected] . Upon your request, we will delete or block any references to you in our database.

Please note that while any changes you make will be reflected in active user databases instantly or within a reasonable period of time, we may retain all information you submit for backups, archiving, prevention of fraud and abuse, analytics, satisfaction of legal obligations, or where we otherwise reasonably believe that we have a legitimate reason to do so.

CCPA Privacy Rights (Do Not Sell My Personal Information)

Under the CCPA, among other rights, California consumers have the right to:

  • Request that a business that collects a consumer’s personal data disclose the categories and specific pieces of personal data that a business has collected about consumers.
  • Request that a business delete any personal data about the consumer that a business has collected.
  • Request that a business that sells a consumer’s personal data, not sell the consumer’s personal data.

If you make a request, we have one month to respond to you. If you would like to exercise any of these rights, please contact us.

GDPR Data Protection Rights

We would like to make sure you are fully aware of all your data protection rights. Every user is entitled to the following:

  • The right to access – You have the right to request copies of your personal data. We may charge you a small fee for this service.
  • The right to rectification – You have the right to request that we correct any information you believe is inaccurate. You also have the right to request that we complete the information you believe is incomplete.
  • The right to erasure – You have the right to request that we erase your personal data, under certain conditions.
  • The right to restrict processing – You have the right to request that we restrict the processing of your personal data, under certain conditions.
  • The right to object to processing – You have the right to object to our processing of your personal data, under certain conditions.
  • The right to data portability – You have the right to request that we transfer the data that we have collected to another organization, or directly to you, under certain conditions.

Student Information

While the Trio Education service is engaged to protect the students while using the internet, we encourage Schools, Educators, Parents and Guardians, to observe and participate in monitoring and guiding student online activity.

Trio Education does not knowingly collect Personal Identifiable Information from users. If you think that а student provided this kind of information on our website, we strongly encourage you to contact us immediately and we will do our best to promptly remove such information from our records.

Changes to This Privacy Policy

We may update our Privacy Policy from time to time. Thus, we advise you to review this page periodically for changes. We will notify you of any changes by posting the new Privacy Policy on this page. Changes to the policy are effective immediately after being published to this page. If you do not agree to the new terms and information stated in this Privacy Policy document, you may contact the Trio team.
